Tiles in the Workflow tab are color-coded to represent different statuses in the repair order (RO) process. Below is an explanation of the meanings behind these colors, as well as their triggers.
Card Outline (Yellow): The card will be outlined in yellow and blink if the RO meets any of the following criteria, indicating the RO needs attention:
A RO has been created and no tech is assigned within 30 minutes.
A RO has been created and the SA has not been assigned to the RO.
Parts have been ordered but have yet to be received, and the current date and time are later than the ETA for the purchase order if entered.
An inspection has the "Alert Service Advisor with Recommended Actions" checkbox checked, recommended actions are selected, and the inspection has not been marked as completed. The system will send a chat notification to the service advisor to get a part ordered or notify the customer.
An inspection is marked as complete by the tech and has yet to be reviewed by the service advisor to be sent to the customer.
An inspection was sent to the customer, and 20 minutes have passed.
There is a message that has not been read.
A RO has a total clocked time of "Billed Hours - 30 min".
The "Pay attention to the repair order if the remaining work will be overdue XX hour(s)" setting (found in Other Settings > Options > Repair Order Settings) is set to n hours, and 0 <= (Promised Time - Current Time) - Remaining Work <= n.
Card Outline (Red): The card will be outlined in red if the RO is overdue.
Card Outline (Green): The card will be outlined in green once the RO is completed.
Grayed-out Card: The repair order tile will be grayed-out if all services and inspections are marked as completed on that workflow step, or if an inspection was submitted to the SA on that workflow step.
White Card: The background of the card will be white if there is no activity on the RO. This means that the tech is not clocked in on the job, and has not clocked into the job that day.
Blue Card: The background of the card will be pale green when a tech is clocked into the RO.
Light Gray Card: The background of the card will be light gray if a tech has logged into the RO at some point during the day, but is not currently logged in. This means the tech has clocked in for the day, and had clocked into the RO at some point, but is now either clocked into a different job or a different time clock event.
