SMS App: Workflow Tile Icons

Tiles in the Workflow tab have icons representing different statuses in the repair order (RO) process. Below is an explanation of the meanings behind these icons, as well as their triggers.


  • Calendar Icon: Clicking on the calendar icon opens a right drawer where you can view and add holidays, appointments, and marketing information.

  • Communication Icon (Customer): This icon, found next to the calendar icon, opens a right chat drawer where you can see chat history and send new messages to the customer. This chat drawer functions similarly to the messaging panel in the Reputation app. Clicking this icon will open the drawer to a tab called "Chat by Vehicle" and will select that repair order, so you can see and respond to messages. You can select a repair order on the left side to view the chat on the right.

  • Communication Icon (Tech): The chat icon next to the Technician section opens the Communications drawer on the Team RO tab. This allows you to send a message to the technician assigned to the RO. Clicking this icon will open the messaging app with the technician's information pre-populated. If multiple technicians are assigned to the RO, you can deselect either of them as needed.

  • Eye Icon: This icon is used for inspections and appears next to the Technician Status. The eye icon will have a line through it if the inspection has been sent to the customer but not yet opened. The eye will be open if the customer has opened the inspection report. 


  • Inspection Icon: This icon represents vehicle inspections with the Default checkbox checked on the Inspection setup screen. This icon only appears for the default vehicle inspection and is not used for inspections attached to labor lines. The icon will be red and blinking if the labor is not started. If the tech clocks in, the icon will be solid red. When the status of the inspection is marked as complete, the icon will turn green. When the inspection report is sent to the customer, the icon will be replaced by a timer that counts down 20 minutes, after which the timer will be replaced with a phone icon, indicating it is time to call the customer.

  • Phone Icon: A phone icon will appear when the allotted time for waiting to call a customer has passed, and that icon will blink if the customer opens the inspection report during that time. Once the call is made, you can click the phone icon and select the call status from a dropdown list.


  • Markers: These are repair order markers that function like tags. If there are too many to fit across the card, only the first letter of the marker and its color will appear in a circle. You can hover your mouse over the circle to see the full name of the marker.
